Application Page Redesign: Key Changes and Improvements

Overview

We've completely redesigned the application screening experience and introduced a new multi-stage application system that supports complex workflows. Each stage is assigned with a status so you can easily track its progress.

Note: Creating multi-stage applications and PDF management incur additional charges.

Major Architectural Changes

1. Multi-Stage Workflow Support

  • Old: Single screening form per application
  • New: Multiple workflow stages with individual submissions, each with its own form and status tracking
  • Applications now progress through multiple stages (e.g., Stage 1, Stage 2, Stage 3), each unlocking sequentially

2. Enhanced Status Management

  • New Application-Level Status Indicator: Visual status chips showing application state (In Progress, Paused, Declined, Discontinued, Approved)
    • For candidates: Clean, status-indicator component with visual feedback
    • For recruiters: Dropdown selector to change application status
  • Stage-Level Status Tracking: Each submission has its own status (Locked, Unlocked, Draft, Submitted, Complete, Incomplete, Modified)
  • Business Rules: Enforces valid status transitions (e.g., Active → Paused → Discontinued)

3. Improved Form Rendering & PDF Support

  • PDF Form Display: Support for PDF-based forms (display: 'pdf')
  • PDF Download: Download submitted forms as PDFs

4. Enhanced Admin Controls

  • Recruiter-Only Components: Form fields that only recruiters can see and edit
  • Stage Management: Recruiters can unlock stages, mark as complete/incomplete
  • Division Transfer: Ability to reassign applications between syndicates (with business rule enforcement)
  • Decline Reason Management: Structured decline reason selection with modal workflow

5. Reference Check Improvements

  • Visual Status Display: Real-time referee status indicators within forms
  • Email Validation: Prevents duplicate referee emails
  • Partial Referee Validation: Ensures all fields (first name, last name, email) are completed together
  • Status Messages: Clear messaging for sent, received, refused, or failed reference requests
  • View Reference: Modal to view completed reference checks (recruiter only)

6. Chat Integration

  • Consistent Chat Experience: Same chat functionality, now integrated next to each application

Migration Notes for Customers

  • Your existing application forms will be migrated automatically. There is nothing further to do.
  • Application status tracking is now more granular (application-level + stage-level)
  • Recruiters gain significant new control over application lifecycle and stage progression
  • The UI provides clearer visual feedback on application and submission states
  • Multi-stage workflows enable more complex onboarding processes (e.g., separate stages for personal info, verification documents, and contracts)

This redesign fundamentally shifts from a single-form screening model to a comprehensive multi-stage application management system with enhanced admin controls, better status tracking, and support for complex workflows.
